What is the true cost?

Add every direct cost, then calculate how many average sales you need before the pitch becomes profitable.

Is the journey practical?

Account for distance, setup access, parking, overnight stays and the time lost to travel in both directions.

Are the terms clear?

Understand what is included, when payment is due and what happens if you or the organiser must cancel.

A simple test: divide your total event costs by your average gross profit per sale. The result is the minimum number of sales needed to break even—before allowing for weather, quieter periods or unsold stock.
